ARC Fire Safety & Security Ltd is excited to announce its latest partnership with Havant Housing Association.
In October 2024, Havant Housing Association approached ARC Fire Safety and Security Ltd to discuss its requirements for ongoing service and support in 14 supported properties across Hampshire, largely around the Havant area.
The enquiry was handed to one of the dedicated account managers at ARC Fire Safety and Security Ltd, who made initial contact with the Business Coordinator at Havant Housing Association to follow up on this enquiry.
Following an initial fact-finding session, the account manager was able to establish the requirements for the ongoing servicing and took the time to understand the customer's specific requirements for an ongoing maintenance agreement.
Once the initial fact-finding had been completed, the account manager set about attending each of the 14 properties over three weeks for the free site survey, whereby an accurate and detailed asset register was created for each property. This asset register documented the exact location of every detection device linked to the fire alarm, including all manual call points, smoke detectors, heat detectors and sounders. In addition, every emergency light location and fire extinguisher size and location were also recorded for the ongoing servicing.
With a full understanding of the size of each site, a no-obligation quote was presented to Havant Housing Association for their consideration for the ongoing servicing, and we’re pleased to say that the quote ticked all the boxes as required by the Havant Housing Association, and the terms of the maintenance agreement were agreed.
Following the approval and additional site meetings between the Business Coordinator and the ARC account manager, the formal 100% Takeover Visits were scheduled for the service team. The 100% Takeover’s were to be completed by British Standards BS5839.1:2025, with a full and detailed report being submitted to the customer upon completion of the service within each property.
The detailed takeover reports detailed the age of the detection devices within the property, the overall design of the system and the condition of the system, including the space of detection devices and the general results of the service as to whether all the devices operated as expected.
With the formal takeover having been completed, the reports were then handed back to the account manager who set about explaining the results to the Business Coordinator in a uncomplicated manner and a plan of action was created to resolve these faults, defects and observations in a manner that worked for the team at Havant Housing Association, taking into account budgets and the severity of observations across the properties.
The rectification of these defects and observations ensures that Havant Housing Association remain compliant with the requirements of BS5839.1:2025 in addition to ensuring it meets its obligations to its tenants.
With the initial takeover visits completed, the team at Havant Housing Association were given full access with a detailed demonstration to the Uptick Customer Portal.
ARC Fire Safety and Security Ltd use the latest technology, which includes the newly launched CRM system. The Uptick CRM system is a detailed portal that tracks every element of a customer’s journey with ARC. This includes records of all quotes created and records of every service carried out, with detailed analysis of the results of a service down to the single failure of a detector.
The customer was given a guided tour of their portal, where they can access all their historic service dockets, quotes and a record of the defects across their sites so they can make informed decisions as to how to manage these issues going forward.
